Creating a New Email Signature

Microsoft Outlook | Thunderbird | MacMail | Convergence | Faculty-specific images for signature

Microsoft Outlook

  1. outlookDownload the following file: http://communications.uwo.ca/brandnew/downloads/westernu.gif (right click and “Save As”). Don’t forget where you’ve saved this file.

  2. In Microsoft Outlook click on Tools, then Options.

  3. Click on the Mail Format tab and then click on the Signatures button.
    If you already have a signature created, you can edit this, otherwise click on New and select a name that is fitting for the signature.

  4. Click the following button icon and browse to where you saved the image above and click Insert.

  5. Set your font to Arial and the size to 11.

  6. Type your signature information below the image using the following example:
    Firstname Lastname
    Title, Faculty or Department
    Western University
    Street or Building Address, Building Name
    London, ON, Canada, N6A 3K7
    e. westernid@uwo.ca
    t. 519.661.2111 (XXXXX) f. 519.XXX.XXXX

  7. Under “Choose default signature” set “New messages” and “Replies/forwards” to the signature you just created.
    Now click OK on the Signatures screen and again on the Options screen.

    Now when you compose a new e-mail you should see your new signature.

Thunderbird

  1. outlook

    Click on tools on the menu bar and then select Account Settings.  Click on your e-mail address on the account listing on the left side of this screen.

    On the right side of this preferences screen you’ll see a place to type a signature. Make sure to put a check mark in “Use HTML”.

  2. Paste the following into the signature text box (editing with your information):

  3. Click OK at the bottom of this screen.

    Now when you compose a new e-mail you should see your new signature.

MacMail

  1. outlook

    Download the following file: http://communications.uwo.ca/brandnew/downloads/westernu.gif (right click and “Save As”). Don’t forget where you’ve saved this file.

  2. Click on Mail on the menu bar and then on Preferences. Click on Signatures

    If you have an existing signature you can edit the existing one, or you can create a new signature by clicking the + sign and choosing a name for the new signature.

  3. From the location you saved the image from above, click and drag it (or copy and paste the image) into the signature box.

  4. Right click (or control+click) and select “Fonts” and then ”Show Fonts”.
    Set your font to Arial and the size to 12.

  5. Type your signature information below the image using the following example:

    Firstname Lastname
    Title, Faculty or Department
    Western University
    Street or Building Address, Building Name
    London, ON, Canada, N6A 3K7
    e. westernid@uwo.ca
    t. 519.661.2111 (XXXXX) f. 519.XXX.XXXX

    You can now close the preferences panel.  Your next e-mail will now have your new signature.

Convergence

  1. outlook

    Log into Convergence (go to mail.uwo.ca) and click on the options button on the left side at the bottom and under identities, click on Local Account. You will now see an area to type in a signature.

  2. Click on the “Insert Image” button between the shortcut button and the smiley face button and insert the following path in the box:

  3. Directly below that image, type your contact information as you would like it to appear using the following as an example:

    Firstname Lastname
    Title, Faculty or Department
    Western University
    Street or Building Address, Building Name
    London, ON, Canada, N6A 3K7
    e. westernid@uwo.ca
    t. 519.661.2111 (XXXXX) f. 519.XXX.XXXX

  4. Select all of the text in this box and change the font to Arial (click the first letter A on the toolbar).

  5. Click the "Add the signature to every message you compose" checkbox below the text field.

  6. You can now click the “Save Preferences” button at the bottom right side of the screen.

    Your next e-mail will now have your new signature at the bottom.



Faculty signature links


If you belong to a specific faculty group and want to use the faculty graphic in your email signature, please right click on your faculty below and choose "copy URL" and use that as the URL in step 2, above.
